What you are probably dealing with

Repair requests stack up on the desk

A resident reports a fault, the manager writes it in a book and mentions it to a contractor. Whether it was fixed and whether the resident is satisfied goes unfollowed — and that is where disputes begin.

Chasing fees damages relationships

Who owes how many periods and how often they have been chased sits in one person’s spreadsheet. A change of staff breaks the thread and arrears drift further.

Amenity bookings double up

The lounge, the gym and parking are booked in a paper register, so the same slot gets taken twice as a matter of course — discovered when residents turn up together.

Handover is entirely verbal

When managers rotate or leave, special resident requirements, equipment condition and contractor contacts all live in the previous person’s head.

Before and after

Before

  1. 1Repairs written in a book and passed on verbally
  2. 2Completion confirmed only when the resident asks again
  3. 3Fee chasing recorded in a personal spreadsheet
  4. 4Amenities booked on paper, with frequent clashes
  5. 5Handover verbal, so knowledge leaves with people

With AI GO

  1. 1Repairs become tickets with intake, dispatch and completion states
  2. 2Residents check progress online instead of visiting the desk
  3. 3Receivables and overdue amounts prompt automatically; records persist
  4. 4Amenities booked online with clashes blocked by the system
  5. 5Everything is recorded, so handover is visible

Platform capabilities

Residents, repairs and fees on one record

Which unit, what they reported and how many periods are outstanding are all visible in one place instead of across three notebooks.

Chasing and due dates without memory

Payment-notice management raises due dates and overdue tiers automatically, so ageing does not break when a manager changes.

Records reduce disputes

When a repair was received, dispatched and completed, and whether the resident confirmed, are all logged — so a disagreement is settled by record rather than recollection.

Routing across multiple sites

Managing several communities or locations, maintenance and inspection routes can be sequenced automatically, cutting the time lost to doubling back.

FAQ

Our residents are older. Will they use an online system?
Not all of them need to. What matters is that the management office is in the system — residents can still report faults verbally at the desk and the manager raises the ticket for them. That alone solves the record and tracking problem, while residents who prefer self-service use the online route. The two run side by side.
Will the committee see this as unnecessary?
Two things usually make the case: the arrears ageing report, and repair turnaround statistics. Neither could be produced on paper, and both speak directly to what committees care about — finances and resident satisfaction.
Can we adopt collection only?
Yes. Payment-notice collection is its own module and gives you receivables, chasing and ageing immediately. Repairs and amenity booking can follow.
What about managing several communities?
Supported. The key is layered access — head office sees the cross-community aggregate while each manager sees only their own site. That is a platform capability, so you do not need a separate installation per community.
