# AI for Finance and Accounting

Invoices are issued on one platform, books kept in another package, receivables chased in a spreadsheet. AI GO runs issuing, posting and collection off one dataset, so month-end does not start from scratch.

- **Automatic** invoice issued by webhook on checkout
- **One record** invoices bound to sales orders
- **Due alerts** overdue receivables raised automatically

## 現況痛點

### Invoicing is handwork

A sale completes online, then someone logs into the invoicing platform and re-types the item, the amount and the tax number. At volume, mistakes happen — and a mistake means voiding and reissuing.

### Books and documents do not agree

Sales orders in one system, invoices on another platform, bookkeeping in a third. Month-end means reconciling three sources, and a one-dollar gap can take a full day to find.

### Receivables chased from memory

Who has paid, who is on instalments, who is two months overdue — all in one person’s spreadsheet. When they leave, the ageing picture becomes guesswork.

### Reports always look backwards

P&L and cash flow only appear after the close, by which point they describe last month and it is too late to act.

## 導入前後對照

**Before**

- Someone logs in and issues an invoice after each order
- Invoice numbers copied back onto the order record by hand
- Bookkeeping kept separately and reconciled at month-end
- Receivables tracked in Excel; overdue found by accident
- Financial reports produced only after the close

**With AI GO**

- Checkout triggers invoice issuance by webhook
- Invoices bind to the sales order and stay queryable both ways
- Sales, invoicing and accounting share one dataset
- Due and overdue amounts notify their owner automatically
- Reports are available whenever you want them

## AI GO 對應能力

Connect whichever invoicing provider you already use — modules exist for both ECPay and ezPay — so there is no need to change existing contracts.

### Works with your current invoicing provider

ECPay and ezPay each have their own module. Issuing, voiding, allowances and lookups for both B2C and B2B happen inside the system — no more logging into an external portal.

### Sales and accounting on one dataset

Order, invoice, receivable and posting are states of the same record rather than three systems each keeping their own copy. Month-end stops being a three-way reconciliation.

### Collection that does not depend on memory

Payment notices, due dates and overdue tiers are configured once and then raised by the system, so ageing does not break when staff change.

### Controls and an audit trail over financial data

Who can see cost, who can change an amount, who exported a report — all recorded. When auditors ask, you retrieve rather than reconstruct.

## ROI 試算

For an SME with a two-person finance team at an average loaded rate of NT$400/hour, here is the monthly labour cost you can recover:

| 作業項目 | 每月人工工時 | 時薪 | 每月可省 |
| --- | --- | --- | --- |
| Issuing invoices and back-filling numbers | 30 | NT$380 | NT$11,400 |
| Three-way reconciliation (orders / invoices / ledger) | 28 | NT$450 | NT$12,600 | <!-- Concentrated at the close -->
| Tracking and chasing receivables | 20 | NT$400 | NT$8,000 |
| Producing and clearing payment notices | 16 | NT$350 | NT$5,600 |
| Assembling financial reports | 14 | NT$450 | NT$6,300 |

## 常見問題

### We already have accounting software. Do we replace it?

Not necessarily. The usual approach is to automate issuing and receivables first — the most manual and error-prone part — and connect the accounting package by export or API. Once the data flows cleanly, decide whether to bring the ledger in too.

### Can an incorrect invoice be voided?

Yes. Issuing, voiding, allowances and returns for both B2C and B2B happen in the system, and each action is logged. Because invoices bind to their sales order, it is obvious which one needs reissuing — no hunting through document numbers.

### Can we export what our accountants need?

Yes — sales reports, invoice detail and receivables ageing can all be exported by period. Because they come from the same underlying dataset, the figures agree with each other; you will not get a report that differs from the detail by three lines.

### Will adoption disrupt our current invoicing?

You can run in parallel: keep the existing process while the new system issues a shadow copy for comparison, and switch once the figures match. That is the standard Forward Deployed Engineer approach.
